FreshTrack Privacy Policy

    FreshTrack ("the app", "we", "us", "our") is a food expiry tracker published by Arkayen Labs. This policy explains what we collect, why, and the choices you have. We wrote it in plain language on purpose.

    1. Our approach in one line

    FreshTrack is offline-first. Your food inventory lives on your device. It does not leave your phone unless you sign in and choose our optional cloud backup. If you use the app without an account, we collect no personal data about you at all.

    2. What we collect, and only when

    We collect different things depending on how you use the app.

    a. If you use FreshTrack without an account (guest)

    Nothing is collected by us. Your items, categories, expiry dates, notes, photos, quantities, history, and impact statistics are stored only on your device. They are never sent to us or anyone else.

    b. If you create an account

    Accounts are optional and only needed for cloud features. When you sign in with email or Google, we collect:

    • Your email address
    • Your display name, if you provide one
    • A user identifier assigned by Firebase Authentication

    We do not receive or store your password. Sign-in is handled by Google Firebase Authentication.

    c. If you subscribe to a premium cloud plan

    Your food inventory (item names, categories, expiry dates, quantities, notes, and status) is stored in our cloud database so it can be backed up and synced across your devices, and shared with members of a household pantry if you use that feature. Photos are not uploaded; they stay on the device that took them.

    d. Analytics and crash reports (off by default, opt-in)

    Analytics and crash reporting are switched off when you install the app. We ask you once whether to enable them, and you can change your choice at any time in Settings > Privacy. Only if you turn them on do we collect:

    • App activity, such as which features you use and when
    • The broad category of an item involved in an action (for example "Dairy"), never the item's name
    • Crash logs and basic diagnostic information (device model, operating system version, app version) to help us fix problems

    This data is processed by Google Firebase Analytics and Firebase Crashlytics. It never includes the names of your food items, your notes, or scanned barcode numbers. If you never enable it, none of this is collected.

    e. Barcode lookups

    When you scan a barcode, the barcode number (and nothing else) is sent to OpenFoodFacts, a third-party open food database, to look up the product name and category. No personal information is sent with it.

    3. Why we use each type of data

    • Account data: to create and secure your account and enable cloud features.
    • Inventory data in the cloud: only to back up and sync your own data, and to share a pantry if you choose to.
    • Analytics and crash data (if enabled): to understand which features are used and to find and fix bugs.
    • Barcode lookups: to save you typing product details.

    We do not sell your personal data. We do not use it for advertising.

    4. Legal basis and your consent

    Each purpose is handled separately, so you are not forced to accept everything at once:

    • Guest use requires no consent because no personal data is collected.
    • Creating an account is your choice and provides the data needed to run it.
    • Analytics is strictly opt-in and can be withdrawn at any time.

    5. Who we share data with

    We use the following processors, who handle data on our behalf:

    • Google Firebase (Authentication, Cloud Firestore, Analytics, Crashlytics), governed by Google's terms and privacy policy at firebase.google.com/support/privacy
    • OpenFoodFacts (openfoodfacts.org) for barcode product lookups, which receives only the barcode number

    We share your personal data with no one else, except where required by law.

    6. International transfer of data

    Google stores and processes data on servers that may be located outside India, including in the United States. Where this happens, Google's Standard Contractual Clauses and equivalent safeguards apply to that transfer. By using cloud features or enabling analytics, you understand that this transfer takes place.

    7. How long we keep data

    • On-device data: kept until you delete the item, delete your account in-app, or uninstall the app.
    • Account and cloud inventory data: kept until you delete your account.
    • Deleted cloud items: marked as deleted immediately, and fully removed when you delete your account. A short-lived marker of a deletion may persist so the deletion can reach your other devices.
    • Crash logs: kept up to 90 days.
    • Analytics data (if enabled): retained per Firebase settings, and disassociated from your account when your account is deleted.

    8. Your rights

    Under India's Digital Personal Data Protection Act, and subject to it, you may:

    • Access the personal data we hold about you
    • Correct or update it
    • Erase it
    • Nominate another person to exercise these rights on your behalf, for example if you are unable to

    You can exercise the most common of these directly in the app: edit your profile, and delete your account and all associated data at any time via Settings > Delete Account. You may also delete your account by visiting our account deletion page or by emailing us. For any other request, contact our Grievance Officer below.

    We aim to respond within the timeframe required by law.

    10. Children

    FreshTrack is not directed at children under the age of 18. We do not knowingly collect personal data from children, and because analytics is off by default we do not profile them. If you believe a child has provided us personal data, contact us and we will delete it.

    11. How we protect your data

    • Data stored on your device uses encrypted storage.
    • Cloud data is protected by access rules that restrict each user's data to that user and the members of any pantry they share.
    • We do not log the contents of network requests in released versions of the app.

    12. Changes to this policy

    If we change this policy, we will update the date above and, for material changes, notify you in the app. Continued use after a change means you accept the updated policy.
